Customize Workplace Dynamics Survey

Change the way questions are worded and survey settings such as the length of the survey cycle.

Overview

Workplace Dynamics comes with a standard set of questions that you can use immediately to gather continuous active feedback. However, you can tailor the survey and questions to suit your needs.

You can:

  • Add, edit, hide, and delete questions.
  • Edit the instructions and labels associated with the question types.
  • Add and edit question categories.
  • Set the length of the survey cycle.
  • Personalize the email subject lines for the survey invite.

Limitations:

  • Survey frequency cannot be changed. Employees will be sent a weekly survey.
  • Question types cannot be created.
  • Questions cannot be moved to other categories.

You can make changes to the survey and questions at any time. Keep in mind that surveys are automatically generated for employees in advance. Changes will not be applied to surveys that have already been generated. We recommend that you make your changes 4 days before the next weekly survey is scheduled to be sent. To customize the Workplace Dynamics surveys in the studio experience:

  • In a project, on the navigation bar, click Model > Surveys.

The Workplace Dynamics survey model

Questions for the Workplace Dynamics survey are organized in the following structure:

  1. Question type: Determines what format and scale is used.
  2. Question topic: Organizes questions around subjects. Who is the question about?
  3. Question category: Groups related questions together.
  4. Question: What respondents are being asked.

For example, employee experience questions are organized under the topics: Manager, Organization, and Team. Questions that ask employees about their managers are separated from questions about their colleagues. The questions are then further grouped into categories (drivers of the employee experience). Categories under the Organization topic include Diversity, Wellbeing, and Innovation.

Note: Not all question types have topics.

Question types

The Workplace Dynamics survey consists of the following question types:

  • Weekly check-in (open-ended question)
  • Employee experience (0 to 10 rating scale question)
  • Collaboration feedback (5 point likert scale question)
  • Collaboration skills (yes or no question)
  • Collaboration style (multiple choice question where respondents can select all that apply)

Workflow

To customize the Workplace Dynamics surveys in the studio experience:

  1. In a project, on the navigation bar, click Model > Surveys.
  2. Make your changes.
  3. When finished, publish your project to production. For instructions, see Publish Project Changes.

Customize questions

You can create and manage questions in the Questions tab.

Create a question

  1. Click Create Question in the upper-right corner of the Questions tab.
  2. In the Question type page of the New question dialog:
    1. Choose the question type you want to use.
    2. Select the category the question belongs to.
    3. Click Next.
  3. In the Question content page:
    1. Enter the question text.
    2. Show or hide the question using the Visible in survey toggle.
  4. When finished, click Create.

    Result: The question is added and appears in the Questions tab.

Change the question text

  1. Select the question in the Questions tab.
  2. Edit the question text in the Info panel.

Change the visibility of a question

  1. Select the question in the Questions tab.
  2. Click the Visible in survey toggle in the Info panel to show or hide the question.

Delete a question

  1. Hover over the question in the Questions tab.
  2. Click the Delete button in the Actions column.

Note: The weekly check-in question cannot be deleted.

Customize question types

You can edit the instructions and labels for question types in the Customize tab.

  1. Click the question type in the Customize tab to see the options.
  2. Edit the instructions or labels.

Customize question topics and categories

You can create and manage question topics and categories in the Topics and Categories tab.

Create a topic or category

  1. Click Create Topic or Create Category in the upper-right corner of the Topics and Categories tab.
  2. In the New dialog, select the question type you want the topic or category to fall under.
  3. If you're creating a category, select the question topic you want the category to fall under.
  4. Enter a display name.
  5. When finished click Create.

Edit the topic or category

  1. Select the topic or category in the Topics and Categories tab.
  2. In the Info panel:
    • Enter a new display name.
    • Change the question type that a category belongs to.

Delete a topic or category

  1. Hover over the topic or category in the Topics and Categories tab.
  2. Click the Delete button in the Actions column.

Note: Topics and categories can only be deleted once all questions have been unassigned.

Customize the survey

You can change survey settings such as the length of the survey cycle and survey email subject lines in the Settings tab.

Set the weekly check-in privacy mode

This setting determines if the respondent's name will appear alongside any comments they leave when answering the weekly check-in question.

  • Choose the privacy mode in the Survey settings tab.

Set the length of the survey cycle

The survey cycle determines the amount of time it takes for all questions in the question pool to be asked. This also affects the number of questions that are included in the weekly survey.

  • Enter the length of the survey cycle in days in the Days for all questions to be completed box in the Survey settings tab.

Note:  

  • By default, the survey cycle length is 90 days.
  • If you enter a time period of less than 7 days, the entire pool of questions will be included in each weekly survey.
  • The maximum number of questions that can be included in one survey is 200.
  • When setting the survey cycle length, you need to balance the need for data and survey completion time. For more information, see Best Practices for Customizing Your Workplace Dynamics Survey.

Example: Calculating the survey cycle length in days.

Let's say your question pool contains 90 questions and you want the weekly survey to have 10 questions. To determine the survey cycle in weeks, you divide the total number of questions by the number of questions in a weekly survey. In this example, the survey cycle is 9 weeks (90/10). Then, multiple the result by 7 to convert the cycle into days. In this example, the survey cycle is 63 days (9*7).

Set the number of collaboration feedback questions included in the survey

By default, respondents are asked to provide collaboration feedback for 4 colleagues in a weekly survey.

  • Enter the number of colleagues that respondents will be asked to evaluate in the Number of collaboration feedback questions box in the Survey settings tab.

Change the survey email subject

You can preset up to 5 email subject lines for your survey. The email subject will be randomly selected.

  1. In the Survey email subject tab, select the number of email subjects you want to have.
  2. Enter the email subject lines.

Set the survey delivery schedule

  • Set the day and time that the survey will be sent to respondents in the Survey schedule tab. The surveys will be sent based on the time zone of the user.

Activate the survey

  • Turn on the Activate sending surveys toggle in the Survey schedule tab to start sending weekly surveys to users.
